1. Technical data collected by the web server
The following data is collected by the Mobility Academy web server:
- Browser type and version,
- Operating system used,
- Referring URL (the website visited just before),
- Host name of the accessing computer (IP address),
- Date and time of the request.
For details about further information collected by the learning platform refer to section 3.
The Mobility Academy runs on a learning platform called “Moodle”, which saves “cookies” (small text files) on your computer. These simplify future log-ins and enable access to our site. The Mobility Academy cannot be used effectively without accepting cookies.
3. Data collection particular to the Moodle system
Registration – data for operation
For the creation of a user account, your name, e-mail address, city and country are requested. This information is saved in a database. You can see this data at any time after log-in on your personal profile page. You can edit this information if need be in your profile. Further, you can select settings that determine whether other users can see your information. Independent of this, your entries will always be visible to instructors and administrators.
You are stored as a member of the category “user” upon registration.
If you register yourself, you will receive an e-mail to ensure that your e-mail address has not been misused. Only after confirmation of this e-mail are you actually registered as a user. Otherwise your data will automatically be deleted in 7 days.
Voluntary contact information in courses, workshops or similar
Participant lists may be made available in courses. These show your name, a profile photo (only if you choose to upload one) and the link to your personal profile. This information is visible to all other participants in the same course. If you are registered by the course organiser, you may change or delete information in your personal profile after it has been set up.
E-mails and other communication
You are free to decide for yourself whether your e-mail address is visible to others on the profile page. This setting does not apply to course instructors or administrators, who can always see your e-mail address. In your personal profile, you can select how and to what extent you will receive e-mails from the system. You can change this setting at any time.
By posting a question, comment, idea or other statement in a discussion forum, participants agree that this content will be archived at the end of a course. Rupprecht Consult may request your permission at a later date to quote or paraphrase your words in future publications but you, as the original author, will retain full ownership of such statements and will be mentioned as original source if such use is made. Rupprecht Consult will not quote you or use any information provided by you without first gaining your written permission.
Apart from the information provided by you in the registration process, the Moodle learning platform also logs the time and the location of the site that you access. Whether you completed set tasks, whether and which contributions you made to any course fora, whether and in which workshops or tests you participated is also logged.
This user information remains stored on a Rupprecht Consult server even after de-registration. It is accessible only to administrators and to the moderator of the relevant course. Your contact data (see the section on “registration” above) is no longer visible to other course participants in a course “room” when you are no longer registered there. Forum entries and other work in a course remain visible.
In order to keep the total number of users within reasonable limits, users who have not logged into the Moodle system for six months or longer may be deregistered. Before this happens, they will receive a warning message giving them seven days to log into the system again. If they do not do so, the deregistration will take effect. Before the deregistration is executed, we may download your user profile and store it on a password protected server for reasons of potential financial audits; see section 4. It is possible to re-register free of charge at any time.
4. Data retention and deletion
We are legally obliged to retain proof of usage numbers for five years after the end of an online course. This is due to the public funding structure of our projects, which implies that an auditor might request such proof to assess the appropriate spending of public funds. We therefore retain user data for this sole purpose. In technical terms, this can take two different forms:
- Either your user profile is retained directly within the online learning platform,
- Or your user profile is downloaded and archived on a password protected server of Rupprecht Consult and then deleted from the online learning platform.
In either case, users’ course specific data will be permanently deleted five years after the end of a course.
If, in the future, the online platform allows to retain proof of course usage numbers in anonymized forms (i.e. without having to retain the full user profiles) we will switch to this system as it requires storage of fewer personal details.
Regardless of the above, all users have the right to have their entire account (incl. all usage and profile data) deleted either upon request to firstname.lastname@example.org or by sending a “Data request”. The latter can be found in one’s own profile section. It is not necessary to provide any reasons for such a request.
5. Data use
All data collected as described above will only be used for technical and/or pedagogical purposes in the direct context of the course(s) you are enrolled in. It will not be passed on to third parties under any circumstances.
Our learning platform uses an encryption technology (https) to ensure you can interact with it in confidence and without fear of your personal data being intercepted. For security reasons, we will never transmit your personal data via e-mail. Nevertheless, there is always a residual risk of interception with any transmission of data via the Internet. We cannot assume any liability for damages arising as a result of such security vulnerabilities.
7. Prohibition of advertisement
Information obtained by course participants on other participants may not be used for the purpose of advertising. We reserve the right to take legal steps in the case of unsolicited advertising; e.g., by means of spam mail.
By registering and using this platform, you express your understanding of these explanations and give your consent to the data collection and use described.
Limitation of liability for internal content
While every effort has been made to make all training units as complete and accurate as possible, no warranty or fitness for purpose is implied. The information provided is on an “as is” basis. The authors and/or Mobility Academy and/or Rupprecht Consult shall have no liability or responsibility for the up-to-dateness, completeness or accuracy of any of the information provided herein. In particular, we cannot assume any liability to any person or entity with respect to any loss or damages arising from the information contained in these training courses.
Pursuant to section 7, paragraph 1 of the TMG (Telemediengesetz – German Tele Media law), we as service providers are liable for our own content on these pages in accordance with general laws. However, pursuant to sections 8 to 10 of the TMG, we as service providers are not under obligation to monitor external information provided or stored on our website. Once we have become aware of a specific infringement of the law, we will immediately remove the content in question. Any liability concerning this matter can only be assumed from the point in time at which the infringement becomes known to us.
Limitation of liability for external links
Our website contains links to the websites of third parties (“external links”). As the content of these websites is not under our control, we cannot assume any liability for such external content. In all cases, the provider of information of the linked websites is liable for the content and accuracy of the information provided. At the point in time when the links were placed, no infringements of the law were recognisable to us. As soon as an infringement of the law becomes known to us, we will immediately remove the link in question.
The content and works published on this website are governed by the copyright laws of Germany.
